Terms & Conditions - Privacy Policy
These terms and conditions manage the relationship between you and Yellow Psychology. The Terms and Conditions and our Consent & Privacy Policy apply to you as a visitor to the Yellow Psychology website and as a client of our practice. Any information submitted to Yellow Psychology will be collected by Yellow Psychology in accordance with our Consent & Privacy Policy.
Cancellation & Rescheduling:
A minimum of 48 hours notice is required to cancel or reschedule appointments to avoid cancellation fees. Our cancellation fees are as follows:

0–48 hours notice: Full Fee
This policy supports us in keeping appointments available for clients in need.
Appointments can be cancelled online using the link provided in the online bookings confirmation email, via email at emerson@yellowpsychology.com.au (as long as it is outside the 48 hour period).
If numerous consecutive cancellations are made, then it is also at our discretion to charge a non-refundable deposit for future sessions.
First Booking & Consultation fee:
All initial consultations are to be prepaid. This can be done online at the time of booking, or over the phone. The full amount will be forfeited if you no show or late cancel within 48 hours of your appointment time.
Payments:
Payment will be made upfront prior to the initial consultation, and thereafter at the conclusions of each scheduled session.
Refunds:
Refunds are available for fees paid upfront, provided not less than 48 hours notice is given.
Consent:
Using the Yellow Psychology website means you are agreeing to these Terms and Conditions.
Yellow Psychology's Terms and Conditions are subject to change at any time. You should check this page periodically to ensure that you are aware of our latest Terms and Conditions.
The following describes the Consent and Privacy Policy of Yellow Psychology for the management of any client personal information. The psychological service provided is bound by the legal requirements of the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).
As part of providing our psychological service to you it may be necessary to collect and record personal information. The information gathered is part of our assessment, diagnosis and treatment. It enables your psychologist to provide relevant and informed psychological care.
Requesting corrections or access to client information:
At any stage clients may request to see and correct the personal information about them kept on file. The psychologist may discuss the contents with them and/or give them a copy, subject to the exceptions in the Privacy Act 1988 (ct.). If satisfied that personal information is inaccurate, out of date or incomplete, reasonable steps will be taken in the circumstances to ensure that this information is corrected. All requests by clients for access to or correction of personal information held about them should be addressed to Yellow Psychology. These requests will be responded to in writing within 28 days, and an appointment will be made if necessary for clarification purposes.
Confidentiality
All personal information gathered by the psychologist during the provision of any psychological services will remain confidential and secure except where:
- It is subpoenaed by a court
- Failure to disclose the information would place you or another person at serious and imminent risk of harm
There may be times where, as part of the assessment and therapy process. It may be helpful for your psychologist to liaise with other relevant people or agencies as part of your care. Additional consent will be requested in these instances.
Please note that if you intend to claim rebates from Medicare or another organisation then your psychologist must provide summary reports to your referring specialist regarding your treatment progress. Under the Medicare scheme these reports will be sent to your GP or psychiatrist.
Collection & Storage of Information:
A client’s personal information is collected in a number of ways before, during or after psychological consultation with Yellow Psychology, including:
- when the client provides information directly to Yellow Psychology using hardcopy forms, correspondence via email or through Yellow Psychology's website,
- when the client interacts directly with their psychologist,
- when other health practitioners provide personal information to Yellow Psychology via referrals, correspondence and medical reports. Know that email communication between you and Yellow Psychology will be kept confidential within the practice as a whole
Australian healthcare providers have a responsibility to maintain accurate and complete records for future care and potential legal reasons. We (or your treating psychologist) are required to maintain your client file for 7 years before it will be destroyed. For any child, storage of client files is required for 7 years after the child turns 18 years of age.
We use Halaxy software developed for clinical use within Australia, to store and maintain your personal information. Halaxy uses bank grade security and encryption to protect your data, along with secure data centres and multiple back ups.
When your clinician uses a healthcare AI note taking tool (such as Heidi) to generate notes from your session, they are required to seek additional explicit consent from you. You can absolutely let them know if you’d prefer they did things the old fashioned way.
